Terms of Service

Effective September 15, 2026

Pre-review notice. Drafted in-house to describe what PartPin actually does. Not yet reviewed by an attorney; the governing-law and dispute-resolution section below is deliberately left open pending that review.

1. Who you’re contracting with

PartPin is operated by Heron Networks LLC(“we”, “us”). “You” means the business that creates a workspace and anyone using its API keys. By signing in or calling the API you agree to these Terms and to the Privacy Policy. PartPin is a business tool; you must be authorised to bind your business.

2. What the service does

PartPin resolves a part number typed against your owncatalog. You upload a catalog; we index it and answer lookups through a tiered resolver — exact, alias / cross-reference, fuzzy, hybrid, and (only when a model key is configured) an LLM adjudication tier. Confirming a candidate writes the alias back so the same query resolves next time.

3. The one promise that matters: asserted vs candidate

A result is returned either as asserted or as a ranked candidate. Only the deterministic tiers may assert, and only when the normalized key is unambiguous. Everything else — fuzzy, hybrid, and every LLM result — comes back as a candidate labelled for a human to verify.

We build the product around the rule that a confidently-wrong part number is worse than no result. But we do not warrant that any individual result is correct, and you must not use a candidate as if it were an assertion, or an assertion as a substitute for your own ordering controls. PartPin does not know what fits, what is safe, or what is certified for a given application. Deciding that a part is the right part remains yours.

4. Your catalog and your queries are yours

You keep all rights in the catalog you upload, the aliases your people confirm, and the queries your customers type. We claim no ownership. We use them only to run the service for you: to index your catalog, answer your lookups, show your dashboard and autopsy, and keep your usage log.

We do not use one tenant’s catalog, aliases or query log to answer another tenant’s lookups, and we do not sell any of it. If we ever want to use aggregate, de-identified statistics to improve the resolver, we will ask first and you can say no.

You must have the right to upload what you upload. If your catalog contains a third party’s data under licence, that licence is your responsibility.

5. Accounts, keys and acceptable use

  • Sign-in is a single-use emailed link, valid 15 minutes. Whoever controls the inbox controls the workspace.
  • An API key is a bearer credential. Keep it server-side; rotate it from the dashboard if it leaks. You are responsible for calls made with your key.
  • Don't use PartPin to enumerate or reconstruct someone else's catalog, attack the service, or evade usage limits by creating multiple workspaces.
  • Don't resell raw PartPin API responses as a standalone lookup service.

Found a vulnerability? Email [email protected]. We will not pursue good-faith research that leaves other tenants’ data alone and gives us a chance to fix the issue first.

6. Price, payment and cancellation

PartPin is paid for by subscription. You start one from the Billing card on your dashboard. Payment is taken by Stripeon Stripe’s checkout page, which shows the price and billing period before you pay. We never see or store your card number.

  • The Autopsy stays free — it is the demo, and paywalling it would defeat its purpose.
  • The metered action is the production resolve API. Sign-up, the dashboard and catalog upload are free.
  • A workspace that has not subscribed runs on the free trial. Doing nothing never results in a charge — you have to actively subscribe. If we ever limit the free trial, we will email every workspace at least 30 days before the limit takes effect.
  • A subscription renews each period until you cancel it, and Stripe emails a receipt for every charge. We will email you at least 30 days before any price change takes effect for an existing subscription.
  • Cancellation is always available from the dashboard — never by phone or email only. When you cancel, you keep access until the end of the period you have paid for, and you are not charged again.
  • If a payment fails, resolve calls are refused with a message saying so until a payment goes through. Nothing is deleted.

We refund a period in which the service was materially unusable because of us, or a billing error, on request.

7. Availability and disclaimers

We do not promise uptime, and the LLM tier depends on a third-party model provider that can rate-limit or fail. Except where the law says otherwise, PartPin is provided “as is”, without warranty of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.

8. Limitation of liability

To the maximum extent the law allows, we are not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost sales, or the cost of a wrong part being ordered, shipped, installed or returned. Our total liability for any claim is limited to the greater of the fees you paid us in the twelve months before the claim or US$100. These limits do not apply to our fraud, wilful misconduct, or death or personal injury caused by our negligence.

9. Suspension, termination and your exit

You can stop at any time. Delete account on your dashboard permanently deletes the workspace: its API keys, catalog, learned aliases and query log. If you have a subscription, it is canceled at Stripe first, and if that cancellation fails nothing is deleted. Deleting cancels the subscription immediately rather than at the end of the period. Export anything you want to keep first; you can also ask us to do the deletion for you. We may suspend a workspace for an attack on the service or a material breach of section 5, with notice where it is safe to give it. On termination we will, on request, return your catalog and your query log in a machine-readable form before deleting them.

10. Governing law and disputes

Open item — pending counsel review.Governing law, venue, and whether disputes go to arbitration are deliberately not stated here. Heron Networks LLC’s state of formation and principal place of business decide the right answer, and naming the wrong one — or asserting an unreviewed arbitration clause — would be worse than saying nothing. Counsel will complete this section before it is relied on. Until then we will engage in good faith with any dispute raised at[email protected] before either side escalates.

11. Changes

If we materially change these Terms we will update this page, move the effective date, and email workspace owners. Any change that introduces a charge follows section 6.
